CBL Provisions:
AUTHORITY: 6.0407 The Internet Services Committee shall: (1) Be composed of 5 members, headed by a Chairman appointed by the president and approved by the Board of Governors The Chairman of this committee shall recommend the other 4 members and shall be approved by the Board of Governors. (2) Have a term of two years or until the next President (3) Have the following functions: (a) maintain and regularly update the official UPMASA website, (b) generate web-based administrative reports, (c) maintain online communication within the UPMASA and its component committees, (d) support the UPMASA and its committees by uploading data or announcements, (e) manage online commerce for UPMASA, (f) collection and organization of data from internet usage, (h) recommend to the Board of Governors pertinent policies and strategic initiatives for its review and endorsement, (i) and, secure the information and integrity of the aforementioned website (4) Designate a webmaster among its ranks.
PRINCIPLES: The Internet Service Committee (ISC) shall be responsible for maintaining UPMASA’s Internet presence and Website that will reflect the dynamic & cosmopolitan personalities of its members through a democratic but secular, interactive, politically correct, unbiased and secure presentation. The ISC shall (1) develop concepts, establish policies, and set priorities for UPMASA’s Internet-related projects, (2) review and evaluate specific projects at the request of the BOG and.or Executive Committee, and (3) provide guidance and support for the UPMASA committees as necessary. The Committee will work with UPMASA by providing advice and input regarding overall Internet- and website-related activities, including but not limited to, development areas, concepts, priorities, industry trends, potential advertisers, and other issues.
COMPOSITION: : There will be five (5) members, headed by a Chairman appointed by the president and approved by the Board of Governors The Chair of this committee shall recommend the other 4 members and shall be approved by the Board of Governors. A webmaster will be designated among its ranks.
During the term of Dr Jose David, automatic membership to the committee included the Chairs of Membership Committee and Programs Committee
The term of all members of the Membership Committee is co-terminus with the term of the current President which is 2 years. Any member’s term can be extended by the incoming President.
MEETINGS: The Constitution and Bylaws of UPMASA governs all standing committee meetings. To wit:
7.0302 All standing and special committees of the Society shall hold at least one meeting each calendar year at the call of the committee chair.
7.0303 A majority of the members of any standing or special committee of the Society shall constitute a quorum at any meeting of the committee.
7.04 Notice of meetings of the Society, Board of Governors, or any standing or special committee shall be deemed to have been delivered if given orally, by telephone, mail electronic mail or telegram. If mailed, such notice shall be deemed to be delivered when deposited in the United States mail, addressed to a member at the address appearing in the records of the Society. 7.05 Parliamentary Procedures: Robert’s Rules of Order, Revised, shall govern all meetings of the Society, the Board of Governors, and the Standing and Special Committees.
A copy of the minutes of the meetings of the committees shall be transmitted to the Secretary and President of the Society in a timely manner.
REPORTS: Interim reports by the Committee are given at the Fall and Winter meeting of UPMASA, and a Yearly Report is given at the Annual Grand Conference during the summer.
GUIDING PRINCIPLES: The Internet Services Committee shall maintain UPMASA’s internet presence through a democratic, secular, interactive, politically correct, unbiased and secure website that reflects the dynamic and cosmopolitan personalities of the UPMASA membership.
POLICIES:
1. https://www.upmasa.org/ shall contain information pertaining to UPMASA, its goals, projects, activities, history, officers, committees, chapters and members. It shall serve to facilitate donations, applications for grants and networking among members.
2. The membership directory is accessible only to UPMASA members who are expected to maintain the privacy of this online information. UPMASA members shall update their online profiles and decide what personal information to share with the membership.
3. In coordination with the ISC, each chapter shall be responsible for maintaining its webpage that can be used to showcase its activities, share information with the members and archive its quarterly reports.
4. In coordination with the ISC, each committee shall be responsible for updating the contents of its hyperlink to a repository of its members, policies and procedures, quarterly reports, minutes of meetings and other information.
5. The ISC shall coordinate with any UPMASA Committee that needs to publish in the website. The ISC shall be guided by the expressed and/or written direction of the UPMASA National President and/or the Chair of the Board of Governors to the authors of the documents, made via e-mail or other means that can be validated, prior to publishing the documents.
6. The ISC shall set up the Forums for online BOG meetings and maintain their contents as archives.
7. The ISC shall setup the biennial online elections using SurveyMonkey.
8. The ISC shall coordinate the use of the UPMASA Zoom account for emeetings requested by the Committees or Chapters.
9. The ISC shall ensure that editors have the adequate technical knowledge to update the website before granting them their privileges.
10. The ISC shall coordinate with the current AGC organizing committee for AGC announcements, publications, and ticket sale.
11. The ISC shall coordinate with the Finance Committee on issues involving e-commerce.
12. The ISC shall setup MailChimp for email blasting.
13. The ISC shall coordinate with Mr. Brad Dolbeer of VisionFriendly.com for the technical support and security of the website.
14. The ISC shall submit an annual budget to the Board of Governors for the maintenance and improvement of the website.
15. The ISC shall explore strategic initiatives and innovations to improve its functions and submit these to the BOG for review, consideration and implementation.
16. The ISC shall make sure that published contents and photographs are not copyrighted.
17. The ISC shall monitor any copyright infringement. Permissions from original authors or owners shall be made available to the ISC when requested.
18. The ISC shall monitor and edit posted materials that deviate from our guiding principles. Items considered controversial by the ISC shall be brought to the BOG for adjudication during its scheduled meetings
19. The ISC shall monitor any fraudulent use of the UPMASA trademark and brand in any fund-raising activity that is not approved by the Executive Committee or Project Coordination Committee.
20. The ISC chair shall prepare and submit a quarterly report to the BOG.

2. Navigating the UPMASA website:
MY ACCOUNT: After login, click on MY ACCOUNT on the top row menu to be directed to the Members Only Dashboard.
Edit Profile: Click on Edit Profile to change information. Hovering on Edit Profile drops down choices to view orders, update addresses, payment methods or change passwords.
Membership Directory: Searchable by name, class, profession, specialty, state, and affiliation. The list of members is downloadable as a PDF by clicking Print Directory.
Data Privacy Notice Form: Entries are needed when logged in for the first time. The form may be printed and signed as needed.
Chapters: Click on the Chapter names to access the Chapter Page. The Map is not interactive and only shows major cities where 17 chapters are located.
Forums: The main online meeting platform used by the UPMASA BOG for the emeetings in the fall, winter and spring. Members can access and read the discussion threads on the various topics deliberated during the emeetings.
3. Editing the Chapter Pages:
The ISC relies on all editors to ensure that the contents uploaded to the Media Library are suitable for publication and do no not infringe on copyrights. Editors will make sure that necessary permissions are obtained prior to publishing any content to prevent potential lawsuits against UPMASA.
Each Chapter Page has a basic structure that includes a heading, list of officers, UPMASAn of the month, happenings, gallery and archives. Each chapter may modify its chapter page. Some chapters have included their seals, announcement section, AGC and member resource corners. Each chapter representative to the ISC will be in charge of updating the chapter page to facilitate communication with the members and allow other chapters to share in any chapter activity remotely. As the contents increase, there will be a need to create another chapter page and archive the old chapter page.
The editors have access to the Dashboard view and can edit the web page using the Elementor. Clicking on ‘Edit with Elementor’ on the top black row menu will direct to the Elementor edit section.
Hovering over UPMASA at the left of the top black row menu will drop down access to the Dashboard. Clicking ‘Dashboard’ will direct to a Dashboard view that includes a roster of the different functionalities in the website on the left hand column of the webpage. For the editors, just focus on ‘Media’.
Hovering on UPMASA on the dashboard view and clicking ‘Visit Site’ will direct to the normal view of the web page. Clicking on the ‘Edit’ at the top black row menu will direct to the edit page. Click ‘Edit with Elementor’ to access the Elementor edit section.
The Elementor edit section on the left column contains widgets under Elements. Different widgets can be dragged into the space on the right to create the sections of the webpage. The editing is done on the left hand column when a widget is highlighted. Familiarize with different widgets and their different functions.
The edit section on the right side of the page has a pink box with a tab on top that allows addition, editing and deletion of the section. Clicking ‘+’ brings down a row with a choice to add new section or to add a template. Clicking ‘+’ (add new section) will bring out choices for the number of columns. After clicking the column layout, the Edit Section on the left has a grid icon on its top right. Clicking the grid icon will access the different widgets. Be familiar with the function of each widget and save your favorites to facilitate future edits. Drag the desired widget to the right hand box to start editing. As one gets more familiar, one can
explore the different functions under the Style and Advanced settings.

Clicking the Navigator icon to the right of the setting icon at the bottom black row menu brings up the Navigator which identifies the section that is being edited. Sections can be moved by dragging each one to the desired location.
Clicking the Responsive Mode icon brings up the top black row menu where one can click on desktop,tablet or mobile mode for adjustment of the page to fit these viewports.
Clicking the Preview Changes icon shows the changes made.
Remember to click UPDATE to make the edits final.
4. Media: Hovering on Media will drop down to Library and Add New.
Library is a repository of all uploaded files by all editors. This is searchable by media items, date and folders. Chapter folders have been created for easy retrieval. Click on the Chapter folder to view all files uploaded by the Chapter.
Clicking on a file will direct to the details of the file. For photos, it is important change the Title to avoid showing the file name used in uploading the photo. For a longer description of the photo, use the Caption because it has a smaller font. Click ‘Copy URL to clipboard’ to insert it in links within the webpage.
To upload a file to the Media Library, click ‘Add New’ and Select your Chapter folder. Click Select Files and highlight the files in your computer. Select the file to upload and click Open to start the upload. Files with hyphens or apostrophes can’t be uploaded. There is a limit of 10 MB to upload. There is option to Delete Permanently or Replace Media.
5. Updating the Committee hyperlinks:
Each Committee has its own page as an archive of all aspects pertaining to that Committee. Clicking “Committees” in the Members Only Dashboard directs to the list of all committees. Clicking on each committee name directs to a page showing Committee Members, Policies & Procedures, Reports, Minutes of Meetings and Miscellaneous. The ISC recommends that each Committee updates its page to facilitate turnover to the succeeding committee members.
Clicking on ‘Edit with Elementor’ on the top black row menu will direct to the Elementor edit section. Click on Members to bring up Tabs on the left column. Under Tab Items, click on Members and update the names of the Committee members. Click Members under Tab Items to close the tab. Do the same for Policies and Procedures. May cut and paste from file.
The Committee Reports from 2019 have already been uploaded to the Media Library. The Folders have been available only since October 2022 and the PDF from 2019 to 2022 have not been organized into the folders. Click on the Committee Report PDF uploaded in the BOG emeeting Folders to view detail. Click ‘Copy URL to clipboard’ and use this to insert in the link within the edit section. Click on Reports under Tab Items. Type in Report Title and highlight
this. Click on ‘Insert/edit link’ and paste the URL link and click the return arrow (Apply). Click the setting icon and check the option to open link in a new tab. Repeat for other reports.

6. Setting up the Forum for BOG emeetings.
Click on Dashboard. Under Forum, click ‘Add New’. Under Create New Forum, enter ‘2023 Fall BOG eMeeting’ in the blank title line, then the date and time in the box, and click ‘Publish”. There is an option to set maximum file size that can be uploaded by participants to more than 800 KB and more than 4 files to upload at once. Set Require Membership to All. Click Permalink to access the Forum.
Click ‘Create New Topic’. Type in Topic Title, eg. Agenda, the contents in the box and then click Submit. Submit won’t work if the box is empty. The contents are usually the title of the reports. Highlight the report and click link. Use the URL of the uploaded report in PDF for the Insert/edit link URL. Check ’Open link in a new tab’ and click ADD LINK.
To edit a topic, click ‘EDIT’ on the right upper menu. Click “STICK (TO FRONT) to highlight topic in yellow and move the topic box to the top when it is up for active discussion for the day. Click “CLOSE” and “UNSTICK” when it is no longer needed for discussion.
At the end of the eMeeting, Go to All Forums and Click ‘Close’ to disallow any further postings. This Forum remains as an Archive of the eMeeting.
7. Send email notice to Annual Members one month and one week before December 31 to remind them of the purpose of updating the Members list and their eligibility to vote in an election year.

10. Important: Do not edit any other PAGE without consulting ISC Chair because it may be linked to certain functions and difficult to undo.
11. Outgoing ISC Chair will personally instruct the incoming ISC Chair on the procedures to:
Grant Editor privileges
Grant Forum roles (if administrator, needs to be moderator or else unable to post comments)
Set up Online voting using Gravity forms on forum during online meetings
Create surveys and polls using Gravity forms (to remove poll entries, go to entries and trash)

Set up Events Tickets Plus for use in AGC . This is linked to the Woo commerce that utilizes
Authorize.net. Approval of the Treasurer is required to link Chapter fundraising commerce.

in coordination with respective committees with the approval of the President or BOG.
